Meeting Minutes
Robert’s Rules of Order Newly Revised, 12th Edition · § 48
Minutes record what the assembly did, not everything people said.
Identify the meeting, date, place, presiding officer and secretary, and whether the previous minutes were approved.
Record the exact wording and disposition of motions and the information required by the adopted rules.
Proposed corrections are handled when minutes are considered for approval; approved minutes become the official record.
Minutes are not debate transcripts
Summarize business conducted instead of recording arguments, personal remarks, or speculative descriptions.
GCA application
Article VII assigns official record-keeping to the Secretary. Use the GCA’s own record-retention and access practices when posting approved minutes.
